- Acting as the point of contact between the manager and clients or vendors
- Screening and directing phone calls, communications and distribute correspondence
- Handling requests and queries appropriately
- Partner with HR to update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Ensure that all items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers and office lease
- Manage office General & Administrative budget/expense, ensure accurate and timely reporting
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Attitude to travel in China and abroad when requested
- Completes projects by assigning work to clerical staff; following up on results.
- Prepares reports by collecting and analyzing information
- Secures information by completing database backups
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Support the day to day work of the Managing Director • Any potential query that needs to be addressed.
- Ensure necessary records are maintained that can readily provide current, accurate and accessible information
- Help in planning the calendar – travel plan, appointments -correspondence as required• Implementing task outside the normal work
- Managing the budget and office expenditure including auditing the supply chain to drive cost savings where possible
- Daily communications and business reporting management
- Handling visitors and vendors
- Dealing with incoming email, faxes and post, often corresponding on behalf of the manager
- Producing documents, briefing papers, reports and presentations
- Support the Managing Director in the preparation of all documentation required for various projects.
- Event Management and facilitation
- Keep office environment area clean and tidy, liaising with office cleaners when necessary
- Act as the point of contact between the manager and internal/external clients
- Screen and direct phone calls and distribute correspondence

任职要求
- Proven work experience as a personal assistant
- Knowledge of office management systems and procedures
- MS Office and written and spoken English proficiency
- Mac and iOS environment preferred
- Outstanding organizational and time management skills
- Up-to-date with latest office gadgets and applications
- Up-to-date with latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality
- PA diploma or certification would be considered an advantage
- Travel Industry experiences would be considered an advantage
